Team Building for Large Groups: How to Run 100 to 2,000 People in One Room
Team building for large groups works when everyone has a job and the whole room shares one outcome. A charity build does both. The Charity Bike Build and the Great Philanthropic Challenge run for up to 2,000 people at once, in a conference hall or hotel ballroom, in teams of about ten at their own stations, and end with a charity collecting what was built in front of the whole room.

How do you run a team building event for 500 people without half of them standing at the back with a coffee? Every conference organiser asks us that, usually after the last one went exactly that way.
We have run charity builds since 2011, from eight people in a meeting room to whole conferences, and more than 60,000 people have taken part. The large events are the ones that get photographed most, because 200 bikes lined up at the front of a hall is a sight, and they are the ones where the format matters most, because a weak format falls apart at scale.

Why do most large group team building events fall flat?
Two things go wrong, and they are opposites.
The activity only needs a few people at a time. A quiz needs one person with the pen. A cocktail class needs the people at the front. Everyone else watches, and the ones who did not want to be there are relieved.
Or there are twenty separate activities and no shared moment. A festival of stalls keeps people busy, but the room never does anything together, and nobody can say afterwards what the day achieved.
A charity build fixes both. Every team of about ten builds their own bike or care package, so everyone has a job. At the end, the charity collects everything in front of the whole room, which is the shared moment.
Which team building events run for up to 2,000 people?
Charity Bike Build. Teams win their parts in a series of challenges and build a bike from what they have won. Every bike is safety checked by our mechanics and goes to someone leaving a hostel, a young carer or a family with no car, with helmets, locks, lights and pumps. The Great Philanthropic Challenge. Six Crystal Maze style challenges, some physical and some mental, where every win adds an item to a care package. Both work in a conference hall, and both have a handover that scales. Two hundred people means 25 bikes, or 25 care packages, at the front of the room.
Which events suit 100 to 500 people?
For a mid sized group, more of the range opens up.
- Scooter Dash. Fifty minutes, up to 500 people. Fits a one hour slot in an agenda, and the scooters go to a local children's charity the same day.
- OnBoard. Two skateboard decks per team, up to 500 people. Calm and creative, and the boards go to children and young carers living in poverty.
- Performance Wheelchair Challenge. Build sports wheelchairs, then compete in them. Up to 300 people, and the strongest donation in the range for a report.
- Charity Building Challenges. A one hour format for up to 1,000 people, built for conferences and away days.

How is a room of 500 people organised?
Teams of about ten, each at their own station. Where we can, we mix departments and levels, because a team of ten from the same desk builds a bike but does not learn much from each other.
Our crew runs the room from the front with a microphone, and works the floor during the build, so a team that gets stuck gets unstuck quickly. The challenges keep the pace, because the parts have to be earned, and a room of 500 does not drift. Safety checks happen at each station as bikes are finished, and a bike that does not pass is fixed until it does.
The handover ends it. The charity collects everything at once, in front of the whole room. With a big group that is dozens of bikes lined up, and it is the photograph that ends up on the intranet and in the annual report.
How does a build fit into a conference agenda?
Every agenda has the same gap: the keynote, the breakouts, and then the bit that has to get people out of their chairs without feeling like a punishment.
Scooter Dash fits a one hour slot. Fifty minutes on the clock, alongside your AV, and delegates are back in their seats for the next session with a scooter built. The Bike Build carries a whole afternoon: two and a half hours, then the handover, then drinks.

How much does team building for a large group cost?
The price is a total for the group, set by size band, and it is the same anywhere in the UK. It includes the crew, the kit and the equipment that goes to the charity.
As a guide, the Charity Bike Build is £6,190 excluding VAT for up to 50 people, seven bikes donated, and £17,819 for up to 200 people, twenty five bikes. The Great Philanthropic Challenge is £3,271 for up to 40 people and £11,848 for up to 200, twenty five care packages. The Performance Wheelchair Challenge is £13,136 for up to 100 people, ten chairs. What does an organiser need to have ready?
A room, a date and a rough headcount. That is the whole list.
Floor space is the thing to check. With a big group it matters more than anything else, so tell us the hall or ballroom size and we will confirm the fit, or tell you plainly what would need to change.
Nothing else lands on you. We arrive before your delegates, set up every station, run the session and manage the charity handover. Afterwards you get photographs, the donation figures and copy for the write up, which is what the person who asked what the day achieved actually wants.
